What to ask before choosing remodeling software
Short answer: Start from your own job, not from a feature list. Walk one real remodel from first inquiry to final payment and ask each vendor to show every step in their software, using your own example.
Questions that separate tools
Before the sale
- Can you track leads and follow-up, and keep each conversation with the job?
- Do estimates work by room or area, with reusable templates for work you repeat?
- Do proposals keep versions, so you can say exactly what the customer saw and accepted?
Between "yes" and the first day on site
- Is the contract built from the accepted proposal, with digital signing?
- Are selections and allowances tracked, with the customer's decisions recorded?
- Are change orders versioned, itemized and approved in writing, and do approved changes reach the schedule and purchasing?
During the work
- Can crews and subcontractors get a clear assignment, and does the office get daily logs, photos and punchlists back?
- Does purchasing follow the approved scope?
Money and records
- Invoicing, deposits, progress billing and payment tracking?
- Budget versus actual per job?
- Accounting: what exactly connects (for example QuickBooks mapping and export), and what is still manual?
The customer side
- What can the customer see and do in a portal: review proposals, sign contracts, make selections, see invoices?
- Does it work well on a phone?
Questions about the vendor
- What is included in the plan you would actually buy? Portals, e-signature and integrations are sometimes extras.
- How is pricing set? "On request" is common; ask for it in writing.
- How do you onboard a company? Who sets up templates, price books and data import?
- What is not included? A candid answer is a good sign.
- What happens to your data if you leave? Ask about export.
Be careful with roundups
Some "best software" lists are written by companies that earn referral fees. Use them to find names, not to decide.
Where Buildestra fits
Buildestra is a platform for remodeling and contracting businesses that connects estimating, proposals, contracts, change orders, scheduling, purchasing, field reporting, invoicing and a customer portal. It is in limited alpha: access is individual, companies are onboarded one at a time, and it is free throughout alpha. Optional features such as the AI estimating assistant are under controlled access, and some integrations depend on configuration. If you would like to see whether it fits your company, contact us.
